The 7-Step Coating Quote Checklist I Use When the Deadline Is Non-Negotiable

In my role coordinating coating orders for industrial clients, I've processed more than 200 rush quotes in the past decade. When I say "rush," I do not mean a slightly accelerated timeline. I mean a spray booth is booked, a crew is scheduled, and the coating needs to be on site in three to five days—no excuses.

This checklist is for that moment. It's not for the buyer with three weeks of lead time and a leisurely request-for-quotation process. It's for when you need a quote you can stake a deadline on, a delivery date that means something, and a product that works the first time. Because there probably won't be time for a second attempt.

Seven points. Run them in order. The first one sounds like corporate trivia, but it's the one that causes the ugliest back-office messes.

Step 1: Verify the Product Line and the Legal Entity

Before you compare prices, verify who is actually selling you the coating. Large coating manufacturers operate through multiple legal entities, and the distinction matters when you need warranty support, tax documents, or credit terms.

Take Axalta as an example. If you're ordering in the United States, the quote will typically come from Axalta Coating Systems LLC. The Axalta coating systems parent company is Axalta Coating Systems Ltd., which trades on the NYSE under the ticker AXTA (as of January 2025). That distinction sounds like administrative noise—until your accounts payable team rejects an invoice because the legal name doesn't match the purchase order, and the replacement paperwork takes a week.

The fix takes 30 seconds: confirm the legal entity on the quote matches your vendor master data before you approve anything. This applies to every coating manufacturer, not just Axalta. If the entity is unclear, ask for the full legal name and registration details. A legitimate supplier won't hesitate.

Step 2: Force the Supplier to Spell Out the Full Specification

A quote that says "PTFE spray coating" is not a quote. It's a starting point, and if you approve it as-is, you're accepting whatever the supplier decides to deliver.

PTFE spray coatings quotation prices can vary by 30–40% depending on details that often aren't in the initial quote:

  • Single-coat vs. two-coat system. A two-coat PTFE system with a separate primer costs more in material and labor—and performs differently.
  • Dry film thickness. For PTFE spray coatings, the spec is typically 20–40 microns. A quote that doesn't state DFT is a quote that doesn't mean anything.
  • Substrate prep. Does the coating require grit blasting, a chemical etch, or both? Prep is where costs balloon.
  • Cure schedule. Some PTFE systems require a high-temperature bake. If your facility doesn't have an oven that can hold the required temperature, the product won't cure properly—and the performance claims in the data sheet won't apply.

What I mean is that the cheapest quote isn't just about the sticker price. It's about the total cost: your time spent managing surprises, the risk of delays, and the potential for rework. If a supplier won't put the full specification in writing, move on to the next one.

Step 3: Request the TDS and SDS With the Quote, Not After

The technical data sheet and safety data sheet should arrive with the quote. If they don't, that's a red flag.

The TDS covers the details that determine whether the product will work in your process: coverage rate, mixing ratio, pot life, recoat times, and cure schedule. The SDS covers what your crew needs to handle it safely.

When I'm triaging a rush order, I won't approve a quote without both documents. If a product gets substituted at the last minute, we request the new documents before the shipment arrives—not after.

Step 4: Calculate Total Cost, Not the Unit Price

The lowest quoted price is rarely the lowest total cost. Total cost includes the base product price, freight (including hazardous material surcharges), minimum batch or setup fees, rush fees, and the cost of rework if the batch arrives wrong or underperforms.

I still kick myself for choosing a supplier based on a low per-gallon price a few years ago, only to pay more in freight and hazmat fees than I saved on the product. The per-gallon rate was a headline. The actual cost came in 18% higher.

There's also a quality dimension that buyers underestimate under deadline pressure. The finish is the part your client sees. A coating failure—blistering, peeling, an off-shade panel—doesn't just cost the rework. It changes how the client perceives your company. I've watched a $50-per-job savings on materials turn into a lost contract because the finish didn't meet expectations. When you're buying coatings, you're buying the surface your client will judge you by.

Step 5: Check Batch Dates, Shelf Life, and Storage Requirements

This is the step almost everyone skips, and it's the one that burns us most often.

Coatings have a finite shelf life, typically 12 to 24 months from the date of manufacture. Color shift paint is especially sensitive. The mica-based pigments that create the angle-dependent color flip can settle into a hard cake, and once a batch is past its shelf life, the pigment can't be reliably re-dispersed. You're gambling on performance.

Before you approve any coating order, ask for:

  • The batch manufacturing date
  • The stated shelf life
  • Temperature-controlled storage requirements

In the middle of a busy season last year, a shop called me about a color shift paint order that arrived with visible settling in the containers. The batch was 22 months old on a 24-month shelf life. The "warehouse deal" price looked great, but after multiple mixing attempts, the spray pattern still showed patchy color development. They had to reorder fresh stock at full price and eat the labor. The 15% "savings" turned into a 20% loss—and the client's deadline moved anyway.

Now I check batch dates on everything. A coating is a chemical system, not a commodity. The date code is not optional.

Step 6: Get a Written Delivery Date, Not an Estimate

"Five to seven business days" is a wish. A written date is a commitment. The difference shows up exactly when you can least afford it.

In March 2024, a client needed a two-coat system on site in four days to keep a booked spray booth running. The supplier confirmed verbally that the order would ship the next day. I knew I should get that in writing, but I thought, "we've worked together for years. What are the odds?" Well, the odds caught up with me. The shipment left on day three, the booth sat idle, and the client lost nearly two days of production.

The value of a guaranteed turnaround isn't the speed—it's the certainty.

Speed, accuracy, paperwork. In that order. On a rush order, the first thing to get sacrificed is usually the last one. For production runs or any job with a hard deadline, a written delivery date is worth more than a lower price with an "estimated" window. A supplier's shipping department works from the written request date, not from the phone call.

Step 7: Plan Incoming Inspection Before the Crew Arrives

The last step happens after the order lands. If you haven't planned it, it won't go well—when the crew is waiting and the spray booth is rented by the hour, nobody wants to pause for paperwork. So decide now who will check the delivery and what they'll look for:

  • Container condition: no dents, leaks, or damaged seals
  • Batch numbers match the certificate of analysis
  • Quantity matches the packing slip
  • Batch dates fall within the shelf life window
  • A retained sample, if the job justifies it

The batch number check is the one that gets skipped. I've seen a $12,000 project go sideways because the delivered color shift paint carried a batch number that didn't match the approved sample documentation. The finish shade was visibly different, the client noticed, and the entire panel set had to be resprayed. A 90-second batch check would have caught it before the crew ever touched a spray gun.

Common Mistakes I Still See

Even experienced buyers slip on these:

  • Relying on verbal agreements for delivery dates. "We've always come through" is not a logistics plan.
  • Assuming products from the same manufacturer are interchangeable. Different product lines can have different mixing ratios, recoat windows, or curing requirements. Compatibility is not automatic.
  • Ordering color shift paint without a physical reference panel. Color shift is angle-dependent. A product photo is not a spec. You need a panel sprayed at the specified dry film thickness, and you need to approve the color before committing the full order.
  • Skipping the checklist for small orders. It feels ridiculous to run seven verification points on a small purchase like a sealant for diamond painting. But the principles scale down: know your substrate, confirm compatibility, check the application method. The best sealant for diamond painting is water-based, non-yellowing, and compatible with resin finishes—and you still verify it performs on your specific surface before committing.

One more thing: technical and pricing data change. The entity and ticker details I mentioned were current as of January 2025, but coating prices shift with raw material costs. Verify current rates and certifications with your supplier before you sign.

I have mixed feelings about rush fees. On one hand, they feel like a surcharge on someone else's urgency. On the other, after seeing what crash orders do to a production schedule—the juggled lines, the split lots, the corners that get cut under pressure—I understand why they exist. But I'd rather pay a rush premium with every item on this checklist verified than get a great unit price on a quote I can't trust.

Run the checklist. Get it in writing. Check the dates. The deadline pressure is exactly why those details matter.
